Privacy policy

MnabeShop POS is a point-of-sale and stock management service for shops, provided by WithUs Technology, Tanzania ("we", "us"). This policy explains what personal data we handle, why, where it is stored, and the choices and rights you have.
1. Who is responsible
For account data of shop owners and their staff, WithUs Technology is the data controller. Shops also record information about their own customers (for example, the name and phone number of a customer buying on credit). For that information the shop is the controller and we process it on the shop's behalf.

The app uses the camera only to scan barcodes and, when you choose, to take product photos. Camera images used for scanning are processed on your phone and are not uploaded or stored. We do not collect your location, contacts or advertising identifiers, and the app contains no ads or third-party tracking.
3. Legal basis
We process data to perform our contract with you (providing the service), to meet legal obligations, and for our legitimate interest in keeping the service secure. Where the law requires consent, we ask for it.
4. Where your data is stored
Data is stored on Google Cloud in the africa-south1 region (Johannesburg, South Africa). This is a transfer of personal data outside Tanzania. We use it because it is the nearest secure data-centre region, and we rely on Google Cloud's contractual data-protection commitments, encryption and access controls as safeguards.
5. How we protect it
- All connections use HTTPS encryption; the database accepts encrypted connections only and is encrypted at rest.
- Passwords and one-time codes are stored only as secure hashes.
- Each shop's data is strictly separated; staff see only their own shop, and only managers see costs and profit.
- Accounts are locked temporarily after repeated failed sign-in attempts.
- Photos are kept in private storage and shown only through short-lived links.
- Sign-in tokens on phones are kept in encrypted storage and are revoked when you sign out.
6. Who we share it with
We do not sell personal data. We share it only with service providers that run the service for us (Google Cloud for hosting, storage and email delivery), or when required by law.
7. How long we keep it
We keep your data while your account is active. When you delete your account, it is removed from our live systems immediately, and from encrypted backups within 14 days. If you are a shop owner, deleting your account also deletes your shop and all its records. Sales recorded by a staff member stay in the shop's books with the staff member's name removed.
8. Your rights
Under the Tanzania Personal Data Protection Act, 2022 you can ask to access, correct or delete your personal data, object to its processing, or withdraw consent. You can delete your account at any time in the app (More → Delete account) or on our account deletion page. For any other request email info@withustechnology.com; we respond within 30 days. You may also complain to the Personal Data Protection Commission (PDPC) of Tanzania.
9. Children
MnabeShop POS is a business tool for adults and is not intended for anyone under 18.
10. Changes
If we change this policy we will update the date above and, for significant changes, notify account holders.
